This policy explains what information Pinewood Search ("we," "us") collects when you use this website, why we collect it, and the choices you have. We've written it in plain language. This is not legal advice; we recommend having counsel review it against your final data practices before scaling.

What we collect

• Information you provide through our consultation and contact forms: your name, business name, email address, phone number, website (optional), target market, what your business does, the services you are interested in, and anything you write in the message field.
• Your answers to the consultation questionnaire. If you arrive from one of our ads, you may be asked a short set of questions about your business before the contact details: your industry, your target market, your current advertising, budget, customer value, sales process, and how soon you want to begin. The Lead Reactivation questionnaire asks how many old leads you have, the type of appointment you want, where your lead records are stored, and the typical value of a new customer. It does not ask you to upload a lead list or provide your leads' contact details. These are business details, not sensitive personal information, and we use them to discuss your goals and scope the work and to know whether we can genuinely help you.
• Which ad brought you here. Our ad links carry campaign parameters in the web address (for example the trade and city an ad was aimed at, and standard campaign tracking tags). These are submitted along with your form so we can tell which advertising is working. Campaign parameters in the page address may also be included in information received by the Meta Pixel.
• Information sent automatically includes your IP address, browser and device details, and standard server logs from our hosting provider. We use server logs to operate and secure the site. The Meta Pixel also receives page-view information, such as the page address, and may use cookies and similar identifiers for advertising measurement and targeting.

Our consultation forms send your enquiry details to us when you submit them. The Meta Pixel separately records page views when pages load; browsing information can therefore be shared with Meta before you submit an enquiry.

Why we use it

• To discuss your marketing goals and prepare a proposal or quote.
• To respond to you and, with your consent, to follow up about our services, including by phone or text at the number you give us.
• To judge whether we can genuinely help your business before we take up your time.
• To measure visits from our ads, understand which campaigns bring enquiries, and improve advertising and retargeting on Facebook and Instagram.
• To operate, secure, and improve the website.
• To comply with legal obligations.

Who we share it with

We share information with the following providers and advertising partner for the purposes described here:

• Web3Forms processes our form submissions and delivers them to us by email. Your form data passes through their service for that purpose. See the Web3Forms privacy policy.
• Calendly powers the booking calendar shown after you submit a consultation questionnaire, including the Lead Reactivation questionnaire. That calendar is only loaded once you have submitted the form, so it is never present for people who simply browse the page. When it loads, Calendly receives your IP address and sets cookies in order to show available times and record your booking, and it receives your name, email, business name, target market, and a summary of your questionnaire answers to prefill your booking and help us prepare for the call. • Meta receives browsing, device, and cookie information through the Meta Pixel for advertising measurement and targeting. Meta may associate this information with your account and activity on its services. See the Meta Privacy Policy.
• Our website host and email provider, for delivery and storage.

We share browsing and device information with Meta for advertising measurement and targeting, including advertising across different websites and services. We may also disclose information if required by law.

Advertising and how you found us

We run ads on Meta (Facebook and Instagram) and have installed the Meta Pixel throughout this website. The base pixel code sends a PageView event when a page loads. We also send a Lead event after an enquiry is successfully submitted and a Schedule event when the embedded Calendly calendar confirms a completed booking. These conversion events include the service being discussed. Our conversion-event code does not attach your name, email, phone number, or questionnaire answers. We use this information to measure advertising performance, understand website visits, and support retargeting.

The pixel can collect page addresses, browser and device information, IP addresses, and cookie identifiers. Meta may connect this information with activity on Facebook, Instagram, and other websites that use its tools. The pixel may set or read cookies; see Meta's Cookies Policy for more information.

Meta's handling of this information is described in the Meta Privacy Policy. You can manage advertising and activity preferences in your Meta account settings. You can also use browser settings to block or delete cookies, or tracking protection to block the pixel. Blocking cookies alone may not prevent all requests to Meta.

How long we keep it

We keep consultation-request and contact information for as long as needed to respond to you and provide our services, and as required for legitimate business or legal purposes. You can ask us to delete it at any time.

Your choices and rights

Depending on where you live (for example, under the California CCPA/CPRA, other U.S. state laws, or the EU/UK GDPR), you may have the right to access, correct, delete, or port your personal information, to opt out of its "sale" or "sharing" for advertising, and to withdraw consent. To exercise any of these, email zach@pinewoodsearch.com and we'll respond as required by law.

Children

This site is intended for business owners and is not directed to children under 13. We do not knowingly collect personal information from children.

Data security

We use reasonable safeguards to protect the information you share, including HTTPS in transit. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

International users

We operate in the United States. If you contact us from outside the U.S., your information will be processed in the U.S., which may have different data-protection laws than your country.

Changes

We may update this policy from time to time. We'll revise the "Last updated" date above and, for material changes, take additional steps where required.
